Overview : The Administrative Assistant is responsible for providing administrative and clerical support to the Associate Director, Pharmacovigilance, Dr. Linda Carney.This position will assist members of the Research & Development department with diverse administrative tasks and projects and will also act as part of a team to successfully accomplish department objectives. Responsibilities : * Perform general clerical and support duties - typing, proof-reading, faxing and copying * Prepare meeting schedules and make travel arrangements * Process purchase orders and prepare expense reports * Assist in management of project and overall departmental budgets * Draft correspondence, letters, memos and various communications * Assist with processing vendor documentation through the legal and financial processes * Coordinate the details of specific marketing research projects * Screen and manage email, telephone calls and messages; follow-up as appropriate * Update and maintain vendor files, research folders and associated documentation * Undertake special projects with minimal supervision * Make changes and updates to PowerPoint presentations * Coordinate internal department requests * Open, screen and prioritize mail and interoffice correspondence * Maintain familiarity with projects, contacts and information * Responsible for the security and confidentiality of all information and documents Qualifications : * Associate degree or greater college level education is preferred * Experience (minimum 2-4 years) working as an administrative assistant in a corporate environment * PC proficiency must include MS Word, Excel, PowerPoint and email systems (MS Outlook) * Excellent spelling, writing, and speaking skills is required * Experience and the desire to work within a fast-paced sales and marketing department is highly preferred
